Before You Arrive for Your Child's Appointment

Prior to your child’s appointment, the clinical staff at Wee Pediatrics, Inc. starts prepping for your visit. We review their chart and immunization history to ensure that they are up-to-date, and that all their records are available for the provider to reference.

Our front office administrator reviews the schedule several days in advance. She then works to verify insurance and notes any changes from previous visits. A courtesy call, text, or email is given to remind you of your appointment date and time.

We recommend that you become familiar with and research your health care plan to ensure that your visits (sick visit, wellness exam, and immunizations) are a covered benefit; as well as understanding your copay, co-insurance, and deductibles prior to your visit. Payments are due at the time of your visit.

If you are unable to keep your appointment, we do require 24 hour notice to avoid a $25.00 no show fee. If you are running late to your appointment, please give the office a call to determine if we can keep the appointment or need to reschedule to another time or day.

What to Expect at the Reception Desk

When you arrive, please check in at the front desk with the front office administrator and provide your picture ID for verification. Please inform the front office administrator of any recent changes (address, insurance, etc.). Verification of your contact information is done at every visit to confirm that we have accurate demographics if we need to contact you.

After checking in, the following will take place:

  • You'll be given the required forms and asked to complete them.
  • Payment is accepted if there is a copay or balance on your account.
  • You'll be checked into our computer system.

At Wee Pediatrics, Inc., you won't be kept waiting long. Even if there are additional forms to fill out, our goal is to see you and your child as soon as we can. Call today to schedule an appointment with one of our specialized pediatric providers.

While You're in the Waiting Room

Please know that while you're waiting to be seen by one of the physicians at Wee Pediatrics, Inc. our Medical Assistant (MA) and providers are busy seeing other patients. At times, we may have multiple providers seeing patients at one time So, you may not be called back into an exam room right away. We know how frustrating it can be but if someone is called in to be seen before you, they're probably seeing another provider who's running on a different time schedule.

We ask for new patients and patients coming in for a physical to check in 30 minutes prior to the appointment time, and 15 minutes prior for follow-up/sick visits, so we can give you ample time to update your information (paperwork), complete, and turn in health forms and screeners, and make payments. This also allows the MA to triage in a timely manner.

If you'd like to prepare for your appointment, please visit our Registration Forms and Health Screener Forms to download the appropriate patient forms and complete them so you can bring them with you to your child's appointment.

Speaking With the Medical Assistant (MA)

When you and your child are called from the waiting room, the MA will triage the patient by taking their height, weight, temperature, blood pressure, etc., and ask necessary medical questions. Please hand over any requested forms to be signed by the pediatrician to the MA. The MA will also be collecting all completed health screeners to give to the pediatrician before seeing the patient.

Seeing Your Child's Provider

Our provider will review your child’s chart, ask questions about their health, and start the exam. Once the exam is complete, they will confirm whether your child need immunizations, testing, or further treatment. Your provider will inform you of any further steps that need to be taken.

Checking Out After the Appointment

Once the exam and treatment are complete, the Medical Assistant will check you out in the exam room. You'll schedule a follow-up appointment or the next wellness exam if needed, and be given any forms you needed completed, along with your AVS (After Visit Summary).

For patients who have not yet paid their copay or balances at the beginning of the visit, please proceed to the front office so that payment can be collected.
